The Field Medical Operations Coordinator is responsible for coordinating the administrative, operational support, and project management support to ensure functional and compliant conduct of the field medical team (MSLs). This includes planning, executing, monitoring, and reporting of MSL activities, systems, metrics, presentations, team scheduling, meeting planning, training coordination, and project tracking.
The Field Medical Operations Coordinator is responsible for coordinating the administrative, operational support, and project management support to ensure functional and compliant conduct of the field medical team (MSLs). This includes planning, executing, monitoring, and reporting of MSL activities, systems, metrics, presentations, team scheduling, meeting planning, training coordination, and project tracking.
The Coordinator is expected to coordinate the delivery of MSL reports, tracking measures, resource planning, training sessions, and resource implementation on specified timelines under direction of the manager. They coordinate field training and onboarding processes to ensure timely MSL completion with appropriate documentation, coordinating the MSLs and internal contributors.
DUTIES AND RESPONSIBILITIES
• Provide dedicated field support for the coordination of all field Medical Affairs projects and operations
• Organize and schedule speakers, meetings, trainings, content review sessions and workshops for MSLs to include logistics, scheduling speakers, materials, documentation, etc. for MSLs
• Track and monitor outside services; monitor budgets; review invoices, contracts, protocols; and coordinate agreements and identify issues of concern
• Support manager with MSL systems and metrics data and reporting (Veeva CRM, Link Key People, Scientific Share of Voice, InVision), working with field operations and vendor
• Manage field material deployment, working with internal MedComs leads and the MSLs to include scheduling required training and portal/access
• Work directly with manager and/or individuals delegated by the manager involved in the execution of MSL programs, including progress reports and documentation
• Coordinate the presentations for scientific and functional components required for MSLs
• Assist the Operational Lead in developing project plans, tracking tools and dashboards, laying out key actions, stakeholders, resources and milestones, for prioritized projects
• Support development timelines for MSL plans (region management, and KOL mapping)
• Support all field-related MRC submissions/communications, working with internal leads
• Coordinate the following MSL activities (plans, budget, reviews, etc.): Roundtables, regional/virtual advisory boards, insight program, vendor management, metric reporting
• Work with key stakeholders to coordinate presentation creation, delivery and communication planning for scientific and functional components required for Field Medical team programs
• Manage the coordination of new hire onboarding and home-learning modules and assignments, conduct weekly progress checks
• Coordinate, track and support overall budget and resource planning across field Medical Affairs
• Maintain knowledge of all SI compliance and regulations ensuring consistency in implementation of policies
MINIMUM JOB REQUIREMENTS
• Bachelor’s degree is preferred, but not required with applicable experience
• Minimum of 4 years’ experience in pharmaceutical industry or similar with comprehensive understanding of the administrative and support function to the MSL team; experience in medical operations preferred
• Demonstrated high level proficiency with Microsoft Office Suite of products (Office, Word, Excel, Power Point, Adobe), and strong typing skills
• Strong project management skills and experience; Ability to effectively organize and prioritize tasks to achieve established deadlines; PMP preferred
• Proactive style and able to anticipate needs, with a high level of attention to detail
• Experience and success managing multiple tasks and deadlines at once. Excellent time management and organization skills
• Ability to establish and manage relationships with company field and internal roles
• Excellent interpersonal, communication (oral and written), and presentation skills
• Ability to work in a matrixed environment and provide leadership to a diverse team
• Demonstrated skills in systems management, coordination of teams, communication, meeting planning, effective reporting processes, and activity/project documentation
• Must live a commutable distance to our US Corporate Headquarters in Florham Park, NJ. Office presence required 50% per month, at least 2-3 days per week
PREFERRED SKILLS & EXPERIENCE
• Industry experience in pharmaceutical MSL admin/operations strongly preferred.
