Overview

The Senior Legal Operations Specialist is responsible for the day-to-day administration, maintenance, and operational support of Shionogi Inc.’s contract management system, Agiloft. The role supports contract intake, review, routing, execution, and maintenance for a high volume of agreements, including MSAs, SOWs, CDAs, consulting agreements, and related contracts. This includes managing contract workflows, supporting system enhancements, maintaining templates, training users, coordinating with internal stakeholders and vendors, and providing guidance on submission processes and system requirements.
The role also conducts initial contract review to identify missing information, inconsistencies, or workflow issues, exercising independent judgment to determine appropriate agreement types, assess submission completeness, and escalate matters to Legal team members as needed. In addition, the Senior Legal Operations Specialist provides operational and administrative support to the Legal department, including accruals and invoices, vendor and subscription management, onboarding, meeting and training logistics, travel coordination, and other corporate administration activities.

Responsibilities

  • Primary responsibility for managing Shionogi Inc.’s contract management system (Agiloft Contract Management Software) and training stakeholders on the system requirements and process for submission, review and execution of agreements.
  • Provide initial review and (where appropriate) provide feedback to business clients in multiple departments on Master Services Agreements, Task Orders/Statements of Work, Change Orders/Amendments, Consulting Agreements, CDAs, and other agreements on a timely basis.
  • Work closely with legal, finance, IT, and business teams, and vendors to expedite the review and execution of agreements; monitor contract workflow in Agiloft and shepherd contract drafts between reviewers.
  • Exercise independent judgment regarding appropriate type of agreement and information required for preparation.
  • Responsible for system maintenance, monitoring regular updates, investigating and recommending modifications to users, developing requirements for and testing of custom features, and working directly with system vendors on implementation.
  • Maintain user access and permissions.
  • Review and suggest changes to legal agreement templates and ensure most recent versions of templates are available in contracts management system; respond to questions from the business regarding templates and submission of contracts for review.
  • Provide administrative support to legal team members including meeting/training set-up, travel arrangements, submission of expense reports, communication with outside counsel for monthly legal expense accruals, processing of purchase orders and invoices, managing department subscriptions, onboarding of new team members, etc.
  • Establish and foster effective working relationships with business clients, maintaining an up-to-date understanding of the business to provide effective advice and direction.
  • Assist with legal and compliance training initiatives and materials.
  • Assist with corporate administration and ongoing compliance for legal entities.
  • Coordinate approval of Board minutes and ensure Board meeting folders are up to date.
  • Other duties as assigned.

Minimum Job Requirements

Qualifications

  • Bachelor’s degree in business, Legal Studies, or a related field (required).
  • Minimum four (4) years of experience working with legal department, including with contracts and other legal issues.
  • Proficiency with contract management software (Agiloft or other similar system).
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, and Outlook) and general business software/applications.
  • Excellent written and verbal communication skills with the ability to prioritize work assignments and adjust as needed. Ability to train a wide variety of clients on new systems and processes.
  • Good understanding of legal drafting preferred

Other Requirements

  • Must permanently reside a commutable distance to our US Corporate Headquarters in Florham Park, NJ. Office presence required minimum 50% per month, at least 2-3 days per week.

Additional Information

The base salary range for this full-time position is $70,000 - $100,000. Individual pay is determined by several factors, which include but are not limited to: job-related skills, experience, and relevant education or training. The range does not include the comprehensive benefits, bonus, long-term incentive, applicable allowances, or any additional compensation that may be associated with this role
